EHSTracks vs. Other EHS Software

At least six different kinds of software get sold as EHS software, and they are not interchangeable. Here is an honest map of who solves what, including the cases where you should buy someone else.

The short version

  • Almost every EHS vendor promises digital inspections, mobile access, corrective actions, and dashboards. Those words describe all of them equally well, so they can't decide the purchase for you.
  • EHSTracks is a field inspection and corrective-action platform. Mapped inspection points, offline mobile execution, location-verified answers, automatic Repair records, and audit-ready reporting across SPCC, LDAR, Stormwater, Waste, Safety, Fire, and custom programs through FLEX.
  • It isn't an enterprise governance suite. No incident management, occupational health, training, chemical or SDS management, permits, emissions calculation, or ESG reporting.
  • Environmental deadlines leave very little room. A detected leak under 40 CFR Part 60 subpart VVa requires a first repair attempt within 5 calendar days and completion within 15. Maximum Clean Air Act civil penalties currently reach $124,426 per day, per violation.

Put six EHS vendors side by side and the capability matrices all start to look the same. Everyone has mobile inspections. Everyone has corrective actions. Everyone has notifications, dashboards, and reporting. So the matrix tells you very little. It can't predict how the software behaves at 6:40 on a November morning, when an inspector in heavy gloves is standing in a tank farm with no bars of service, trying to work out which of fourteen identical valves is the one on today's route.

The question that does predict success is narrower, and it's much harder to fake in a demo:

Will this system make sure the right inspection happens, at the right location, on schedule, with the evidence attached? And will it drive what we find all the way to a documented fix?

Plenty of excellent products were built to answer something else entirely. That's a mismatch, not a defect, and you can catch it before you sign. Here's the map.

What they do well

These platforms exist to standardize EHS across a large, distributed organization. Depending on the vendor and which modules you buy, they cover incidents, occupational health and medical surveillance, industrial hygiene, enterprise risk, process safety, management of change, contractor safety, training, sustainability disclosure, and board-level reporting. Their strength is breadth and governance: one taxonomy, one set of definitions, one place where a corporate EHS function can see every site at once. If a global head of EHS needs every facility on earth to define a recordable incident the same way, this is the category that solves it. Nothing narrower will.

Where the overlap is

All of them include inspections. The difference shows up in depth at the point of execution. An enterprise suite is usually very good at telling management that a monthly inspection is due and that somebody marked it complete. What sits underneath that is a different job: routing the inspector to a specific mapped point, showing the questions that belong to that point's type and attributes, confirming they were physically there, and opening a repair on a regulatory clock the moment an answer fails. That layer usually isn't what these systems were built to optimize.

Choose the enterprise suite if

Your mandate is corporate governance and disclosure, and inspections are one process among twenty you need to standardize. Buying a specialist for one of those twenty won't solve the other nineteen, and EHSTracks won't try to.

Go in clear-eyed about cost and calendar, though. Enterprise suites are configured, not installed, and the license is often the smaller half of your first-year spend. The bigger half is the integrator or consulting firm that builds your workflows, priced per customer because these implementations end up bespoke no matter how configurable the product is described as being. So ask for an all-in year-one number with services included. Ask how many of their customers went live on the original date. And ask what happens to your configuration when the consultant who built it moves on.

Choose EHSTracks if

Governance is already handled and field execution is where things break down. That's the common situation at facility level. Corporate has a system, and the tank farm still runs on a clipboard and a spreadsheet, because nobody can use the corporate system while wearing a respirator. EHSTracks deploys per facility and stands alone as the system of record for inspections and repairs, with eight report types that hand the evidence to whatever else you run. We don't sell it as a middleware layer. The FAQ on integration spells out exactly what connects and what doesn't.

What they do well

These platforms deliver a broad safety toolkit without the weight of a global risk suite: incident reporting, configurable forms, corrective actions, training records, chemical and safety data sheet management, dashboards, and notifications. VelocityEHS in particular has deep chemical management and ergonomics capability that EHSTracks doesn't have and doesn't claim to. For an organization whose central problem is a general safety management system, this category is often exactly right.

Where the overlap is

This is the closest overlap on the page. The difference comes down to where the data model starts.

Most general EHS platforms begin with a form. You build a form, deploy it, collect submissions, and the submissions accumulate as documents.

EHSTracks begins with the inspection point. A specific tank, valve, outfall, container, extinguisher, or eyewash station is itself a durable record, carrying GPS coordinates, a photo, a type, physical attributes, one or more inspection schedules, its own question logic, a current status, full inspection history, and any open repairs. An inspection is something that happens to that point rather than a document that mentions it.

You feel the difference at scale. At a facility with hundreds or thousands of similar assets, form-shaped data tells you that 240 inspections were submitted last month. Point-shaped data tells you which eleven points were missed, which four have sat in Delay of Repair past their anticipated date, and which one has failed the same question three periods running.

Choose the mid-market platform if

You need incident management, training records, or chemical and SDS management in the same system. Those are real requirements, and EHSTracks doesn't meet them.

Choose EHSTracks if

Your inspections attach to fixed physical assets on a regulatory schedule, and connectivity in the field is unreliable.

What they do well

These platforms work upstream of the field, on the question of what's required in the first place. Depending on the vendor, that covers regulatory applicability analysis, legal registers, compliance calendars, permit management, emissions calculations and inventories, chemical reporting, environmental data management, and agency submissions. If your compliance team's hardest hours go into working out which rules apply to a new unit or getting a Tier II filed, this category earns its money and EHSTracks is no substitute for it.

Where the overlap is

Very little, which is why the two categories sit together comfortably. They live at opposite ends of the same lifecycle. A compliance platform works out the obligation and reports on it. EHSTracks carries it out and produces the evidence: finding the point, running the inspection at the required frequency, asking the questions that belong to that asset, capturing photographs and readings, catching the deficiency, driving the corrective action, and keeping the whole chain intact for a regulator.

Neither one produces the other's output. A perfect permit register won't prove anyone walked the containment berm, and a perfect inspection record won't calculate your potential to emit.

The practical pattern

EHSTracks most often replaces paper binders, spreadsheets, and disconnected inspection databases while a regulatory content or reporting platform continues doing its own job alongside it.

What they do well

Speed, price, and approachability. These products digitize a paper checklist in an afternoon, with drag-and-drop form building, conditional logic, photo capture, signatures, notifications, and task assignment. SafetyCulture's template library is enormous and the interface is genuinely well designed. SiteDocs is strong on worker safety documentation and certification tracking. If your goal is to stop carrying clipboards across a lot of loosely related processes, this category delivers value in days and deserves a serious look.

Where the overlap is

Both produce a completed digital inspection. What differs is what survives afterward, and whether the software knows anything about the regulation.

A form app produces a document. You can search it, export it, attach it to an email. But the record belongs to the form, not to the valve. Nothing persistent accumulates status and history against the asset, no schedule gets generated from a regulatory frequency and enforced on its own, and there's no concept of a repair clock anywhere in the system. A downloaded checklist has no way of knowing that a leak found today needs a first repair attempt in five days and completion in fifteen. It holds whatever due date somebody typed, and it holds it just as calmly if nobody typed anything.

None of that makes a form app unsafe, and it's worth being precise rather than dramatic about it. The software simply has no awareness of the rules, so every safeguard rests on the process discipline of the people using it. That works fine until the month somebody is short-staffed.

Where FLEX fits

If flexibility is what draws you to a form app, FLEX gives you configurable custom inspection programs built on the same architecture as the purpose-built products. A custom operational checklist inherits mapped inspection points, location verification, automated scheduling, dynamic questions, offline execution, automatic Repair creation, and the same reporting. It behaves like a managed compliance program rather than a form that happens to live on a phone.

Choose the form app if

Your checklists aren't tied to fixed mapped assets, no regulatory deadline attaches to what you find, and breadth across many unrelated processes matters more to you than depth in any one of them.

What they do well

Regulatory fidelity, earned over decades. These systems understand component inventories, applicable subparts, leak definitions, monitoring frequencies, and repair obligations at a level of detail generic software never gets near. Facilities under consent decrees have defended real audits with them, and that credibility isn't in question here.

Where the overlap is

Almost entirely, on the regulatory logic. Where the two part ways is the twenty feet between the database and the component.

The legacy pattern separates the point of inspection from the system of record. A route gets printed or loaded onto a dedicated handheld, a technician walks the unit, readings land on paper or on a device that syncs at a dock, and someone reconciles all of it later. That reconciliation is where newly added components, stragglers that were attempted but never successfully monitored, and plain transcription errors turn into an administrative project every single period.

What EHSTracks does with the same rules

The regulatory content moves into an offline-first mobile app on a standard phone. LDAR supports component inventories, zone-based inline inspection of every component on one screen, both OVA and EPA Method 21 modes, and two independent schedules running on the same point at once. Method 21 mode enforces a background reading before monitoring begins, requires a PPM entry per component, and records a leak automatically when the reading exceeds the configured leak definition. The technician doesn't get to decide whether that counts.

Calibration happens in the field instead of around it. There's a registry of monitoring devices by serial and model, and of calibration gases by concentration, lot number, and expiration date. A guided four-step wizard walks the technician through it, precision gets calculated automatically from the reading against the known gas concentration, and a single calibration links itself to every Method 21 inspection active at that moment. Those calibrations then land in the Auditor Report for the period without anyone attaching them.

Repairs carry the deadlines the rule sets: 5-day first attempt, 15-day completion. Delay of Repair captures the responsible person, the reason, and the anticipated date, and Follow-Up Monitoring gets scheduled to confirm the fix held.

Stated plainly: the inspector types Method 21 readings into the device. There's no Bluetooth ingestion from the analyzer. If a vendor tells you they have that, ask them to demonstrate it with your instrument before you believe it.

What they do well

Maintenance is a discipline with its own economics, and a CMMS is built for exactly that: work orders, preventive maintenance, parts inventory and reorder points, labor tracking, equipment history, maintenance cost, downtime analysis, and technician scheduling. Many of them include inspections too. EHSTracks handles none of the maintenance economics and isn't trying to.

Where the overlap is

At the finding. Both systems have an opinion about what happens once something turns up broken, and they're optimizing for different outcomes.

A CMMS optimizes the work itself: who fixes it, with which part, at what cost, with how much downtime. EHSTracks optimizes the evidence around it: what was found, where, by whom, when, with what photograph, under which regulatory deadline, with which attempts logged, and how all of that reads to a regulator two years later.

What you want to avoid is forcing one to become the other. A maintenance system pressed into service as an environmental compliance database usually can't answer the frequency and deadline questions an auditor asks. An EHS system pressed into service as a maintenance operation usually can't tell you what the repair cost.

The practical pattern

The failed inspection creates and preserves the compliance finding in EHSTracks. When the fix needs real maintenance execution behind it, meaning parts, labor, and scheduling, that work gets raised in the CMMS. The Repair record keeps the inspection context and the evidence either way, no matter where the wrench work gets planned.

A general form app and a purpose-built compliance platform diverge for one reason, and it has nothing to do with sophistication. Environmental regulation attaches hard deadlines and serious money to physical acts. Software that doesn't know the deadline has no way to enforce it.

Penalty maximums took effect January 8, 2025 under the EPA's civil monetary penalty inflation adjustment and were not raised in 2026, as the scheduled adjustment was cancelled. Repair deadlines are set by 40 CFR 60.482-7a, with delay of repair conditions at 40 CFR 60.482-9a. Your applicable subpart may differ; confirm against your permit.

Look at what these penalties usually get assessed for. Rarely the leak itself. Far more often it's failing to monitor on the required frequency, failing to attempt the repair inside the window, and failing to produce records showing that either one happened. Those are documentation failures, and documentation failures are a software problem.

The same logic runs through the other programs. SPCC requires inspection of aboveground storage tanks, containers, and secondary containment on a schedule with records to match. Stormwater adds post-storm event inspections that have to happen inside a window measured from the weather, not from whenever the morning frees up. Waste carries container inspection frequencies, accumulation limits, and shipment deadlines where the calendar does the enforcing. See the regulatory coverage in detail.

  1. The inspection knows where it happened

    Patented mapping technology places every inspection point on an interactive satellite view as a status-colored pin. An inspector taps a pin to jump straight to that item, centers the map on their own position, and works a dense unit without hunting for tag numbers. Underneath that, GPS distance deviation compares the inspector's position against the point's recorded location. If they're outside the permitted distance, the form won't open until they type a written justification, and that justification gets preserved and surfaces in its own Distance Deviation report.

    We built it as a record, not a lockout, because there are legitimate reasons to be standing somewhere else. A completion timestamp only proves somebody pressed a button. This gives you something closer to evidence.

  2. The questions belong to the point, not to the form

    A tank, a transformer, a valve, a waste container, an outfall, an extinguisher, an eyewash station, and a machine guard have no business sharing one checklist. Question sets get determined automatically by product, point type, and the point's physical attributes, through a rules library that the mobile app and the web application both draw from. Inspectors see what applies and nothing else, which is the practical reason field adoption holds up.

  3. A failed answer becomes a Repair by itself

    Answering "No" creates a corrective action record on the spot, in the field. It carries the inspection context, the photographs, the responsible person, priority, and due date. From there it accumulates repair attempts, Delay of Repair status with reason and anticipated date, Follow-Up Monitoring, and final resolution. For LDAR, the 5-day and 15-day deadlines come built in instead of typed in. Nothing sits waiting for someone to remember to open a second module back at the office.

  4. The schedule runs itself, including the misses

    Named repeating schedules, called Frequency Groups, carry a cadence, a start date, and a minimum spacing between inspections. You assign them per point type, with area or point-level overrides where you need them, and LDAR points can run two independent schedules at once for OVA and Method 21. Every night, in each facility's own local time zone, the system closes the expiring window, records the misses, opens the next window, and recalculates every point's status. A compliance gap that depends on a person noticing it isn't really being tracked at all.

  5. Offline is the architecture, not a mode

    A sync downloads a complete local copy of the facility to the device: configuration, points, questions, history, calibrations, waste data, images. Inspectors can inspect, answer, skip with a documented reason, calibrate instruments, and add equipment with the radio off. Changes queue up and upload when signal returns, photos move through background network-aware queues, and records use deterministic IDs so a retry after a dropped connection can't create a duplicate. The app also defends its own data quality, with stale-data banners, a re-authentication prompt before the 30-day session expires, and a block on signing out while unsaved work is still queued.

  6. The audit package is a by-product of the work

    Eight report types run per product and inspection period: Full Monitoring, Summary Monitoring, Inventory, Technical Change, Pre and Post Inspection Questions, Distance Deviation, Auditor, and Blank Monitoring. Each offers on-screen viewing plus Excel or PDF export depending on the report. The Auditor Report pulls the audit-ready package together for a period and appends Method 21 calibrations on its own. Nobody has to launch an audit-preparation project to reconstruct what happened, because the evidence got created as a side effect of doing the work. Do the work, and the paperwork is already done.

    Ask for specifics. Completing forms is the easy part. Ask whether photos, new equipment records, instrument calibrations, and conditional question logic all function with the radio off.

    Cached web wrappers tend to fall over here. You want to hear about a queue that survives a restart, not a shrug.

    A completion timestamp and a username only prove somebody pressed a button. Neither one puts a person at the tank.

    "We block it" is the wrong answer, because sometimes there is a legitimate reason. What you want is a system that demands a written justification and keeps it in a report an auditor can read.

    If closing out a deficiency depends on someone remembering to open a second module later, deficiencies will go missing. Retraining people never fixes that, because the problem lives in the design.

When another platform is the better choice

Any comparison that never reaches this section isn't really a comparison. EHSTracks is narrow on purpose, and narrow is the wrong shape for several real problems.

Choose an enterprise EHS suite when

You need one global environment for incident and injury management, occupational health and industrial hygiene, process safety, management of change, training, contractor qualification, enterprise risk, and ESG or sustainability disclosure. EHSTracks does none of that, and we have no plans to add it. Budget for the services engagement as seriously as the license.

Choose an environmental compliance platform when

Your hardest problem sits upstream of the field: determining regulatory applicability, maintaining a legal register, pulling obligations out of permits, calculating emissions inventories, or filing agency submissions. EHSTracks does not compute emissions, manage permits, or track regulatory change.

Choose a CMMS when

The business question is maintenance economics: work order throughput, spare parts inventory, labor utilization, equipment reliability, downtime reduction, and asset lifecycle cost. EHSTracks tracks the repair as a compliance record. It does not run a maintenance operation with parts and labor accounting behind it.

Choose a general inspection app when

You want a flexible form builder for a lot of loosely related operational processes, your assets are not fixed and mapped, and no regulatory clock attaches to what you find. Over-buying compliance software carries a real cost.

EHSTracks is the strongest option when your priorities are inspection execution, point-level accountability, physical location verification, environmental workflow depth, repair documentation, and audit defensibility. If those are not your priorities, it is an expensive answer to a question you do not have.

The pattern is pretty consistent. Take a look when your organization:

  • Performs recurring inspections on identifiable, fixed physical points
  • Operates industrial sites where connectivity is unreliable or absent
  • Needs to guide employees or contractors through facilities they do not know by heart
  • Wants evidence that inspectors were at the equipment, not merely that a form was submitted
  • Needs point-specific photographs and readings as part of the record
  • Is running compliance out of binders, spreadsheets, and scanned PDFs
  • Needs findings to become tracked corrective actions without human intervention
  • Manages SPCC, LDAR, Stormwater, Waste, Safety, Fire, or custom inspection programs
  • Has watched field adoption fail because the corporate platform is unusable in gloves
  • Already owns an enterprise EHS or maintenance platform and still has an execution gap underneath it
  • Wants to start with one program, prove the return, and expand deliberately

That last point deserves drawing out. Most facilities do not need a corporate transformation. They need one specific thing to stop being painful: weekly hazardous waste container inspections, monthly extinguisher checks, quarterly stormwater monitoring, an SPCC program that currently lives in a three-ring binder. Starting with a single program and expanding into additional products or FLEX workflows later is the normal path here, not a compromise. Pricing follows the same logic. We scope it to the facility and the programs you actually run, which is why there is no published rate card and why the conversation starts with what you are trying to fix.

What is the main difference between EHSTracks and other EHS software?

Most EHS software is organized around a form, an event, or a corporate program. EHSTracks is organized around the physical inspection point. Every point carries its own GPS location, type, attributes, inspection schedule, question logic, status, full inspection history, and open repairs. That changes the question the software can answer. Instead of telling you a form was submitted, it tells you whether the right asset was inspected on time and whether what you found ever got fixed.

Is EHSTracks an enterprise EHS suite?

No, and that is on purpose. EHSTracks does not do incident management, occupational health, industrial hygiene, training, chemical or SDS management, permit management, emissions calculation, or ESG reporting. It covers seven inspection programs: SPCC, LDAR, Stormwater, Waste, Safety, Fire, and FLEX for custom programs. It covers each one to the depth the underlying regulation demands.

Does EHSTracks replace SafetyCulture or another inspection app?

It can. The deciding factor is whether your inspections attach to fixed, identifiable physical assets on a regulatory schedule. A form app hands you a completed document. EHSTracks builds a permanent record on the asset itself, with an automatic schedule, a mapped location, a location-verified answer, and a corrective action that opens the moment something fails. If your checklists are ad hoc only and no clock attaches to what you find, a form app may well be the right size for you.

Can EHSTracks replace a legacy LDAR database such as LeakDAS or FEMS?

This is the comparison EHSTracks was built to win. It supports component inventories, EPA Method 21 instrument inspections with a required background reading and a per-component PPM entry, OVA inspections, configurable leak definitions that record a leak automatically when a reading exceeds threshold, monitoring device and calibration gas registries, guided field calibration with automatic precision calculation, 5-day and 15-day repair deadlines, Delay of Repair, and Follow-Up Monitoring. The difference from a legacy database is that all of it happens in a mobile app in the unit, not on a printout reconciled at a desk afterward.

Does EHSTracks replace a CMMS?

No. EHSTracks opens and tracks a Repair record with its full compliance context: the finding, photos, responsible person, repair attempts, Delay of Repair status, follow-up monitoring, and final resolution. It does not manage parts inventory, labor hours, purchasing, or asset lifecycle cost. Facilities with a serious maintenance operation should plan on running both.

Does EHSTracks integrate with our existing enterprise EHS platform?

Be careful how you hear this one. EHSTracks runs as a standalone system of record for inspections; it is not sold as a middleware layer, and there is no general-purpose public API. Does EHSTracks work offline?

Yes, and it is architectural rather than a fallback mode. A sync downloads a complete local copy of the facility to the device, including configuration, points, questions, inspection history, calibration data, waste data, and images. Inspectors can inspect, answer, skip with a documented reason, calibrate instruments, and add equipment entirely offline. Changes queue on the device and upload automatically when connectivity returns, and records use deterministic IDs so a retry after a dropped connection never creates a duplicate.

What hardware do inspectors need?

Standard iOS and Android phones and tablets. There is no proprietary handheld to provision and no ruggedized device requirement, so most facilities deploy on equipment inspectors already carry. The same field app also runs in a browser for occasional users, with a reduced feature set compared with the native apps.

How long does implementation take?

Days to weeks for a typical facility, not quarters. The compliance logic is already built, including the 5-day and 15-day LDAR repair clocks, SPCC container and secondary containment workflows, post-storm stormwater inspections, and waste profile versioning.
